Planning Fees, Changes and Cancellations

Plans change, especially on the coast. Here’s how fees, cancellations and reservations work, so there are no surprises.

Planning fees

Your planning fee covers the time and care that goes into researching, arranging, and supporting your visit. Lodging, meals, transportation, and experiences are charged separately unless your proposal states otherwise.

Work beyond the agreed scope

Work beyond the agreed scope of your service or proposal is billed at $100 per hour. I’ll provide an estimate and ask for your approval before beginning any additional work. Third-party charges are separate.

If your plans change

Please email Kristina@LenoraCollective.com as soon as possible. Completed planning sessions and delivered work are nonrefundable.

$99 Planning Session

Cancel at least 48 hours before your session for a full refund. With less than 48 hours’ notice, the fee is nonrefundable, and you may reschedule once without an additional charge. Completed sessions are nonrefundable.

$299 Weekend Planning

Cancel before your first planning call for a full refund. Once that call takes place, $75 is nonrefundable.

The remaining $224 becomes nonrefundable once itinerary research or preparation begins. I’ll confirm by email when that work starts. If you cancel after the first call and before itinerary work begins, you’ll receive a $224 refund.

Custom planning

If you cancel before planning begins, I’ll refund your planning fee in full. Once work begins, the refund will reflect the stages completed, using the fee breakdown in your written proposal.

Moving your trip to new dates

If you’re moving your trip to new dates, I’ll explain what can carry over and whether additional planning is needed. Any additional fee will be agreed upon before that work begins.

Rescheduling and missed appointments

Please give at least 48 hours’ notice when rescheduling a call or session. With less notice, you may reschedule once without an additional charge, subject to availability.

If you miss a $99 Planning Session without notice, the fee is nonrefundable. If you miss your first Weekend Planning call without notice, the $75 call fee is nonrefundable. Work on your plan pauses until we reconnect.

During-trip concierge support

During-trip concierge support is currently available in Humboldt County and is reserved in advance at $150 per day. You may cancel a reserved day for a full refund by emailing Kristina@LenoraCollective.com at least 30 days before that day’s agreed service start. Cancellations received after that deadline are nonrefundable because the availability has been reserved for you.

This policy applies to Lenora’s concierge fee. Separately booked experiences and services follow each provider’s cancellation terms.

Reservations and deposits

Hotels, guides, venues, and other providers have their own payment, cancellation, and refund policies. Before I make a reservation or commit you to a deposit or cancellation charge, you’ll receive those terms for approval.

A temporary hold is subject to the provider’s deadline and does not guarantee a confirmed reservation. Canceling your planning service does not automatically cancel your reservations. I’ll confirm in writing which cancellations I’m handling and which you’ll need to make directly.

Weather, fire and road closures

If weather, fire or road closures change your plans, I’ll do my best to help you rework your itinerary as my availability allows. This help doesn’t require concierge support. During a regional emergency I may be affected too, so assistance can’t be guaranteed. Provider refunds follow their own policies.

If Lenora cannot complete your service

If I’m unable to complete the agreed service, I’ll refund the portion covering work not provided. Refunds for separately booked services follow the applicable provider’s terms and any rights required by law.

Refund timing

Approved refunds will be issued to the original payment method within 10 business days of confirming the refund amount. Your bank or payment provider may take additional time to post the credit. Any shorter deadline required by law will apply.
